Optimizing Distribution Groups with Office 365 Groups

If you are an Exchange administrator in an Office 365 environment, then you will have noticed a number of cool features new to Office 365 such as Groups. In this post, I will provide a simple solution to optimize the inclusion or exclusion of all Office 365 Groups in an Exchange dynamic distribution group.

The new Group functionality is great for teams and projects because it enables shared mailboxes, calendars, and documents in a unified way that eases collaboration within Office 365.

New features like Groups affect the way you administer Exchange, requiring new administrative considerations. One such consideration is when creating an Exchange dynamic distribution group that includes every user in Exchange as a member. These distribution groups are common in small to medium sized businesses, with only certain users granted permission to use them, such as the executive team and human resources.

When creating an “everyone” dynamic distribution group in Exchange, you can easily and dynamically include or exclude the new Office 365 Groups’ shared mailboxes. The key is whether you use either RecipientType or RecipientTypeDetails with the RecipientFilter parameter.

Exchange users have the following properties:

RecipientType          : UserMailbox
RecipientTypeDetails   : UserMailbox

Office 365 Groups have the following properties:

RecipientType          : UserMailbox
RecipientTypeDetails   : GroupMailbox

So, if you want to include Groups in your “everyone” dynamic distribution group, your PowerShell syntax will use RecipientType as a RecipientFilter:

New-DynamicDistributionGroup -Name "Everyone" -RecipientFilter {RecipientType -eq 'UserMailbox'}

If you want to exclude Groups, you will use RecipientTypeDetails:

New-DynamicDistributionGroup -Name "Everyone" -RecipientFilter {RecipientTypeDetails -eq 'UserMailbox'}

Having complex and manual processes for distribution group membership can be a time consuming burden for administrators. By formulating your distribution group this way you are proactively avoiding an IT friction point and alleviating administration time.
